Terms of Service

These terms apply when you use The Spa Engine, including the free pricing calculator and any paid product. The Spa Engine is operated by Jennifer Cote, sole proprietor, operating as The Spa Engine, based in Ontario, Canada. By using the service you agree to what follows. If you do not agree, please do not use it.

What we provide

The Spa Engine is web based software for spa and salon owners. It includes tools for pricing and costing treatments, staff onboarding and training, and written procedures. Some parts are free. Others are paid, either as a one time purchase or an ongoing subscription.

We may add, change, or remove features over time. If we make a change that materially reduces what you have paid for, we will tell you by email first.

What we do not provide

The Spa Engine gives you tools and general information. It does not give you legal, accounting, tax, insurance, medical, or employment advice, and nothing in it is a substitute for advice from a qualified professional in your own area.

This matters most with two things. First, pricing: the numbers the calculator produces are based on the figures you enter, and what you charge is your decision. Second, rules and licensing: the requirements for training, licensing, insurance, and record keeping differ by country, province, and state, and they change. Where the service points you to a regulator or asks you to confirm a rule, you are responsible for checking the rule that applies to you and for confirming it accurately. We do not verify what you confirm.

Your account

You are responsible for what happens under your account, including anything your staff do with access you give them. Keep your password to yourself. Tell us promptly if you think someone else has access.

Accounts are for one business. If you run more than one location or brand, contact us rather than sharing a single login.

Your content

Anything you upload or enter, including your service list, costs, documents, and training material, stays yours. You give us permission to store and process it only so far as we need to in order to run the service for you. Some features send your content to third party providers so they can do things like read a document or draft text. Those providers are listed in our privacy policy.

Do not upload anything you do not have the right to use. That includes training material or documents that belong to a supplier, a former employer, or another training provider, unless they permit it.

Features that use AI

Some features use AI to read documents, draft procedures, build quizzes, and mark answers. AI output can be wrong or incomplete. Review anything it produces before you rely on it, and especially before you use it to train staff on anything involving safety. You remain responsible for what you put in front of your team and your clients.

Payment

Prices are shown in United States dollars unless stated otherwise. Payment is handled by Stripe, and we do not receive or store your card details. Taxes may be added depending on where you are.

A one time purchase is charged once and gives you continued access to the product you bought. A subscription is charged each billing period until you cancel, and cancelling stops future charges rather than reversing past ones. Refunds are covered in our refund policy.

We currently sell only to customers in the United States and Canada.

Ending the agreement

You can stop using The Spa Engine at any time, and you can ask us to close your account and delete your data. We may suspend or close an account that is being used to break these terms, to abuse the service, or in a way that puts other customers at risk. If we close your account and you have not broken these terms, we will refund the unused part of anything you have prepaid.

If we ever discontinue the service

A one-time purchase means you pay once with no subscription. It does not promise the service will run forever, because The Spa Engine is software we host and maintain. If we ever decide to wind it down or can no longer keep it running, we will:

In short: what you paid for is your priced menu and your data, which you can always take with you, not a guarantee that the website stays online forever.

Liability

We work to keep the service running and accurate, but we provide it as it is, without warranties beyond those the law requires and does not let us exclude. To the extent the law allows, we are not liable for indirect or consequential loss, including lost profit or lost business, and our total liability to you is limited to what you paid us in the twelve months before the claim. Nothing here limits liability that cannot legally be limited. Some jurisdictions do not allow certain exclusions, so parts of this section may not apply to you.

Changes and governing law

We may update these terms. If a change is significant we will tell you by email or in the product before it takes effect. These terms are governed by the laws of Ontario, Canada, and the courts there have jurisdiction, without affecting consumer protections you have where you live.
